Record purchase orders

​​Purchase orders can be recorded here. The traceability feature is integrated with the other systems on Food Portal, so you can select from your list of suppliers and raw materials.

Call-off scheduling

No assumptions are made as to whether a purchase order will be fulfilled as a single consignment, or if it's a contract purchase with numerous call-offs. In either case, you can record the scheduled delivery date for upcoming call-offs.

​Your site's delivery schedule is automatically generated when you schedule call-offs. This means the goods-intake staff will have visibility over upcoming deliveries as soon as the call-off is arranged.

Intake records for raw materials

​The intake record for raw materials is integrated with the raw material risk assessment, with acceptance criteria displayed at the point of use.

Associate attachments and raw material batches

An unlimited number of attachments can be associated with each raw material batch.

The 'chain share' feature (which is unchecked by default) allows you to selectively share these attachments with customers whose orders contain these batches of raw material. By uploading evidence of the quantity received, this can serve to verify that finished products are composed of raw materials drawn from a positive stock pool.

Allocate batches of raw materials

​​Raw material batches can be allocated to works orders by selecting them from a drop-down. The allocated quantity is deducted from the available quantity, and calculations prevent batches from being over-allocated.

Product inspection and release records

​The product release record for finished product batches is integrated with the product specification, with acceptance criteria displayed at the point of use.

Associate attachments and finished product batches

Just as with raw material batch attachments, files can be associated with the finished product batch, and the 'chain share' feature allows you to selectively share those files with customers who have this batch allocated to their order.

​If you sell large product batches to multiple customers, you only need to upload the COA here once for every customer to receive it for their orders.

Automated distribution of release documents to customers

​​Each time you allocate a batch of product to a customer order, an email is sent to them automatically with the traceability information. Any attachments associated with the finished product batch are available to download if you have elected to share them.

Evidenced fraud mitigation

​​The batch information for input materials is displayed, along with the quantity recorded as received at intake. Where you have elected to share evidence of the quantity received with your customers, this can be used to verify that the raw materials used have been drawn from a positive stock pool, and that the integrity of the product is assured.

The incidents management system rationalises all quality incidents that occur throughout your operations into a single register, and provides a structure for investigation and responsive actions. Trending is done automatically so when you use Food Portal to record and close-out incidents, you don't need to do any further administration for performance trending.
Food Portal provides facilities for you to define your auditing team, risk-assess audits to determine auditing frequency, establish your auditing schedule, and carry out audits. You can carry out factory audits using a smart phone, uploading photo evidence on the go.
